How to choose the best clinic software in Pakistan
What to look for in clinic management software in Pakistan: WhatsApp reminders, rupee pricing, local phone and CNIC formats, billing, data ownership and support.
There is no single "best" clinic software for every clinic in Pakistan. A one-doctor clinic in a residential area, a dental practice with four chairs and a group with branches in two cities need different things. What they share is a short list of questions that decide whether the software makes the clinic calmer or adds another job for the front desk.
This guide walks through those questions. It is written by the team behind Clinoz, so where it helps we explain how Clinoz handles each point, but every question is worth asking of any vendor you consider.
What clinic management software should do
Clinic management software (also called a clinic management system, practice management software or patient management system) replaces the appointment register, paper files, receipt books and spreadsheets with one shared system. At minimum it should cover:
- Appointments and the queue: who is booked with which doctor, who is waiting and who is with the doctor now.
- Patient records: contact details, medical history, alerts, notes, files and consent.
- Clinical work: prescriptions, treatment plans and, for dental clinics, a tooth chart.
- Billing: bills, part payments, receipts and the day's cash.
- Reminders: messages that bring patients back on time.
- Reports: what the clinic earned, what is outstanding and where patients come from.
If a product cannot do these well, extra features will not save it.
Made for how clinics in Pakistan work
Software built for other countries often assumes card payments, email reminders and insurance claims. Clinics here run on cash and bank transfers, patients answer WhatsApp rather than email, and the same mobile number gets typed three different ways at reception.
Ask the vendor to show you:
- Prices in rupees, with the full monthly cost visible before you sign up.
- Patient mobile numbers saved in one standard format however the receptionist types them (03xx, +92 or 92), so reminders do not bounce.
- A proper field for the patient's CNIC that is masked on screen, not a free-text note.
- Reminders on WhatsApp, and patient messages in Urdu as well as English.
- Your clinic's time zone and working week, so the day starts and ends where your clinic is.
In Clinoz, numbers are stored in a single format, the CNIC is masked except the last four digits, and reminder messages can be written in English or Urdu.
Cloud software or a desktop download?
Many clinics still search for "clinic software free download". Desktop software installed on one computer can work, but it puts the backups, the virus protection and the recovery after a hard-disk failure on you. It also ties your records to the room where that computer sits.
Cloud clinic software runs in the browser. The receptionist, the doctor and the owner at home see the same clinic on a computer, tablet or phone, and an internet outage at the clinic does not destroy your records. Ask any cloud vendor three questions: where the data is kept, how other clinics' data is kept apart from yours, and whether you can download all of your records whenever you want.
Clinoz is cloud software: each clinic has its own address, like yourclinic.clinoz.com, nothing is installed, and the owner can export every record and attached file at any time.
Reminders patients actually read
No-shows are the most expensive gap in a clinic's day: the doctor's time is paid for whether the patient comes or not. Reminders are the simplest fix, but only if they arrive where patients look.
Good reminder features include a confirmation at booking, a reminder before the visit that you can time yourself, respect for quiet hours and the patient's consent, and replies that reach your reception rather than a number nobody checks. Sending from your clinic's own WhatsApp number matters too: patients recognise it and can reply.
Clinoz sends confirmations and reminders from the clinic's own WhatsApp number (linked by scanning a QR code), from an Android phone with the clinic's SIM, or by email. Our guide to WhatsApp appointment reminders covers timing and wording in detail.
Billing that matches your counter
Ask the vendor to bill a real patient in front of you: a consultation paid in part today, a treatment paid in instalments, a discount with a reason, and a refund. Then ask to see the end-of-day cash count. If the demo needs workarounds, your receptionist will need them every day.
Look for:
- Part payments, deposits and instalments against one bill.
- Receipts that print on the thermal printer you already have, or go to the patient on WhatsApp.
- Refunds and write-offs that need the owner's approval.
- A daily closeout that compares expected and counted cash.
- Expenses recorded in the same place, so reports show what the clinic really kept.
Clinoz covers each of these, with bill designs for A4, 80 mm and 58 mm thermal paper and WhatsApp.
Clinical records doctors will actually use
Doctors stop using software that slows them down. Medical history should be quick to update, allergies and alerts should be impossible to miss, and a prescription should take seconds: search the medicine, pick a saved dose, print.
Ask whether prescriptions print with the doctor's PM&DC registration number, whether common medicines and doses can be saved as favourites, and whether consent forms can be signed at the desk without paper. For dental clinics, the tooth chart is the heart of the record; see our dental clinic software checklist.
Who owns the patient data?
Patient records belong to your clinic. Before you choose software, ask:
- Can the owner download every record and file at any time, including after cancelling?
- Is each clinic's data kept apart from other clinics' at database level?
- Can I decide what the receptionist, the cashier and each doctor can see?
- Is there two-step sign-in, and a history of who changed what?
In Clinoz, every clinic's data is kept apart from every other clinic's, staff see only what their role allows, every account can use authenticator codes, and the owner can export everything at any time.
A price you can see, and a way to start small
Be careful with software whose price appears only after a sales call, with setup fees, or with yearly contracts you must pay in advance. A clinic should be able to start small, see the full monthly price and upgrade when it adds doctors or branches.
Clinoz publishes its plans in rupees on the pricing page, with no setup fee, and you can upgrade, change or cancel from inside your clinic. If you are weighing free options, read what free clinic software really includes.
Setup and support from people who answer
The best software still needs a good start: your services and fees, your staff accounts, your working hours and your printers. Ask who helps you set up, how you reach support and how quickly they answer. Ask, too, how you would bring an existing patient list over from Excel or another system.
Our 30-day plan for moving off paper shows a calm way to switch without closing the clinic for a day.
Checklist to take to every demo
- Show me today's appointments by doctor (and by chair for dental), and the waiting list.
- Book a patient, send the WhatsApp confirmation and show me the reminder settings.
- Type a mobile number three ways and show me what gets saved.
- Bill a patient with a part payment today and an instalment next month; print the receipt.
- Print a prescription with the doctor's registration number.
- Show me the end-of-day cash count and the monthly collections report.
- Show me what a receptionist account can and cannot see.
- Download all of my records. How long does it take, and in what format?
- Tell me the full monthly price for my clinic, in rupees, with nothing added later.
- Tell me who I call when something goes wrong.
