Moving your clinic from paper and Excel to software
A practical 30-day plan to move a clinic from registers, paper files and Excel to clinic management software without closing for a day or losing records.
Most clinics put off moving to software for the same reason: there is never a quiet week to do it. The appointment register works, the files are in the cupboard and everyone knows where the receipt book is. Changing all of that at once feels risky.
The good news is that you do not have to change it all at once, and you do not need to type in years of old files before you start. Clinics that switch smoothly move one part of the day at a time, starting with the part that pays off fastest. Here is a 30-day plan that works for a single-doctor clinic and for a practice with several chairs.
Before you start: decide what not to move
The biggest mistake is trying to enter every old file before going live. It takes weeks, it stalls the project, and most of those patients may never return. Instead:
- Start new records from today.
- Add a returning patient's history when they next visit, with the paper file beside you.
- If you already have a patient list in Excel, bring the names and numbers across in one go so reception can find people quickly.
- Keep the old files where they are until each patient has been seen once in the new system.
Week 1: set up the clinic
Spend a few hours, not days, on the basics:
- Your branch details, working hours and, for dental clinics, your chairs.
- Your services and fees. Start from a ready-made list and adjust the fees rather than typing everything from scratch.
- Staff accounts with the right roles: reception, doctors, assistants and the cashier. Everyone signs in with their own account, never a shared one.
- Your receipt printer and bill design.
- Two-step sign-in for the owner's account.
By the end of the week, each person should have signed in and booked a test appointment.
Week 2: move the appointment book
Appointments are the best place to start because everyone sees the benefit on day one. From Monday, every new booking goes into the software; the paper register is kept only for appointments already written in it. Reception checks patients in and moves them through the queue, and the doctor sees who is waiting without asking.
Turn on appointment confirmations and reminders this week too. They are the quickest win, and patients notice. Our guide to WhatsApp appointment reminders explains timing and wording.
Week 3: records and billing
Now the doctors start their notes, prescriptions and treatment plans in the software, and reception bills every visit there. Print or send each receipt from the system, and close each day with the cash count: expected cash against counted cash. The first few days will be slower. By the end of the week they should be faster than paper.
Keep an eye on three things: every visit has a bill, every payment has a receipt, and the day's cash matches.
Week 4: patients, reports and the habits that stick
Use the last week to settle the habits:
- Ask returning patients for their consent to WhatsApp messages and record it.
- Invite patients who want it to the patient portal, where they can confirm visits and sign forms.
- Look at your first monthly reports together: collections, outstanding dues and no-shows.
- Retire the paper register and the receipt book. Keep the old files on the shelf until each patient has visited once.
Mistakes to avoid
- Shared logins. Everyone needs their own account, so the history shows who did what.
- Running two systems for too long. A week of overlap is enough. After that, paper becomes the place where things go missing.
- Typing every old file. Bring forward patients as they visit instead.
- Skipping training. Fifteen minutes with each person on their own screens saves hours of questions later.
How Clinoz helps you switch
Clinoz runs in the browser, so there is nothing to install. You choose your clinic's address, confirm your email and land in your new clinic as the owner. Dental clinics start with a ready-made list of common services with suggested fees, bill designs cover A4 and thermal receipt printers, and staff roles for reception, doctors, assistants and cashiers are built in. If you have a patient list in a spreadsheet or another system, write to us and we will help you bring it over.
See the features page for everything Clinoz covers, or compare plans and prices before you open your clinic.
